Your mission

Overview
The Material Handler is responsible for the end-to-end management of spare parts in an external warehouse and for ensuring reliable delivery of parts to customers as part of delivery, commissioning, and service projects. This is a newly created role that consolidates responsibilities currently split between the Service Manager and Project Managers, combining elements of parts and inventory management, procurement coordination, warehouse and logistics operations, and customs coordination. This is primarily an office-based coordination role: the Material Handler manages and communicates with the external warehouse and with suppliers, with only occasional physical handling of materials.

Key Responsibilities
Parts and Inventory Management
Maintain and manage spare parts and accessories used in delivery, commissioning, and service projects, tracking component compatibility and condition. This includes items such as switches, routers, relay units, converters, and emergency stop buttons. Coordinate regular maintenance checks of stored components, including battery condition and functional testing.

Procurement and Ordering
Monitor parts availability and issue purchase orders when stock is insufficient. Place orders with suppliers by email, referencing the relevant purchase order. Coordinate the ordering of regional services such as scaffolding, welding, and electrical installation work, as needed for project execution. Track and record expected delivery dates from suppliers and update project systems accordingly.

Warehouse and Logistics
Coordinate the transport of parts to and from the external warehouse. Record all incoming and outgoing stock movements in the relevant inventory systems. Monitor minimum stock levels and trigger the replenishment process when stock falls below the defined threshold. Arrange transport of parts to customers. Manage the logistics side of claims (warranty claims), including coordinating the packaging and shipping of defective parts back to suppliers and receiving and shipping replacement parts under warranty.

Systems Administration
Maintain accurate records in warehouse management and inventory tracking systems, as well as in any external storage facilities used.

Supplier and Inventory Oversight
Maintain a supplier database containing contacts, lead times, and prices. Monitor the availability of key components to anticipate obsolescence risk. Prepare regular inventory reports comparing current stock levels against minimum thresholds to support operational needs and annual audits. Manage carrier relationships, including running tenders for transport services.

Customs Coordination
Prepare and review customs documentation for the import and export of parts, particularly for shipments outside the EU. Ensure correct customs classification of goods. Liaise with customs declarants or brokers as needed. Keep records required to ensure compliance with customs regulations, including relevant certifications. Monitor the impact of customs duties and import VAT.

Your profile

  • Must have: Fluent spoken English, sufficient for day-to-day communication with suppliers and colleagues.
  • Strong advantage: Previous experience working in a warehouse environment. Electrical engineering education or experience.
  • Nice to have: Experience in purchasing or procurement. Experience in logistics or transport coordination. Knowledge of JIRA. Knowledge of Google Workspace, including Docs, Sheets, and Gmail.
